CMS Permissions - Summary

The permissions for the Content Management System (CMS) in the Single Digital Presence (SDP) are tailored to meet different agencies* specific needs and usage. SDP ensures that best practices and guidelines are followed to maintain consistency in implementing permission levels across content.vic. The permission inclusion list will outline the entitlements and responsibilities of each role.

*Agencies refers to Victorian Government departments and agencies.

Permission levels

Inclusions

Administrator

This is the highest CMS permission level. It’s given to the SDP technical team that manages the implementation of new features, bug fixes and other backend maintenance functions.

Administrators have access to everything in the CMS.

Site Admin

Site administrators manage day-to-day operational tasks such as:

  • User account management (new users, roles, permissions, blocking inactive users)

  • Manage site taxonomy creation and configuration

  • Manage other existing taxonomies (term add, edit, delete, on request from users)

  • Menu creation (via site taxonomy automation) and management

  • Overall content management, including publishing and archiving content (occasional node deletion)

  • Build basic search listings

Only the SDP content team has this permission level in content.vic with 2 DPC exceptions). This role is given to selected users in SDP ‘independent’ site CMS instances.

Approver

The Approver role can publish and archive content.

For content.vic, the Approver role exists to enable federated publishing due to its large size (number of users, pages and sites) and agencies’ desire to manage the publication of their own content.

Approvers have some additional controls compared to Editors, including:

  • Publish and archive content

  • Break content lock

  • Revert revisions

Editor

The Editor role can create and edit content (without ability to publish or archive it). The primary responsibilities of editors include:

  • Create and edit content, media items and blocks

  • Edit existing menus

  • Create and edit web forms; export and delete any web form submissions

  • Add, edit and delete URL aliases

  • Add, edit and delete URL redirects

  • View all existing taxonomies

Contributor

The Contributor role is a version of the editor role created for industry partners (external contractors such as content designers and translators).

Contributors should be able to do everything an Editor can do except access these node status controls:

  • Needs review

  • Archive pending

Previewer

The Previewer role is limited to only giving preview access to existing nodes. This is provided to non-CMS users so they can review and approve content for publishing.

This role can view unpublished content and cannot create or edit any content in the CMS.

Note: The Previewer role needs to have site/section permissions applied so they can only review specific draft content, not all draft content.

SDP provides a share preview feature that does not require any login, but this provides a link for one page only. When a manager needs to browse around several pages or a whole site or section before its published, the Previewer role is recommended.

Jobs editor

A Jobs editor is restricted to managing the Job content type. They can create, edit and clone Job content type nodes. An Approver needs to also have the Jobs editor permission to publish Job content type nodes.

This role is custom to content.vic as the Jobs content type is for the boards.vic.gov.au website

Grant author

A Grant author is an automated role created for the grants XML feed and is limited to the grant content type.

This role is custom to content.vic as it is used for the Grants program.

Data importer

The Data importer role is given to Editors or Approvers who need to upload a CSV file for a data-driven component (map and/or data table).  

Emergency Recovery Resource

This role is exclusively created for Emergency Management Victoria (DJCS) to create, edit, view and delete emergency recovery fields.

Secure file user

This role is created for Department of Treasury and Finance (DTF) users to create/upload, edit, view and delete secure media files
