How to schedule content to publish or archive

This guide covers how to schedule a content page to publish or archive. Do this if you need content to go live or archive at a particular time/date.

We recommend you set your page to go live at least 15 minutes before any launch. This allows time for you to check the page. It also means the newest version will be displayed for users (otherwise the browser can store an old version of a web page so the page can load more quickly).

Only CMS users with Approver or Site admin permission can schedule publishing or archiving.

If you’re an Editor who needs to remove or reschedule an update, contact your department’s central digital team.

Login to https://content.vic.gov.au/ and search for the page within the Dashboard or Content tabs.

If you’d like to publish the current version of the page, select the Title of the page to go directly to the page settings.

Alternatively, if updates are required to the content before it’s scheduled, select Edit and save the final Draft.

Select the Scheduled updates tab.

Click the + Add Scheduled update button.

Choose either the:

  • latest revision option (which will publish the very last saved version prior to the scheduled publishing time), or

  • specific revision number you’d like to publish.

Under the Execute transition dropdown, choose Publish or Archive. Example below shows a page with the transition set to Publish.

Add in the specific date, month, year and time to publish or archive the content. The time format is hours, minutes, seconds, am/pm. If you want to publish at:

  • 11:59 pm, enter 11:59:00PM (ideal for end-of-day scheduling)

  • midnight, enter 12:00:01AM (ideal for start-of-day scheduling)

  • midday, enter 12:00:01PM.

Example of a page scheduled to publish on 25 December 2023 at 1 pm.

Select the Scheduled updates button to save.

The page is now scheduled to publish or archive at the specified date and time.

Rescheduling or removing a scheduled update

Select the Scheduled updates tab and select the arrow under the Operations section. You’ll see 2 x options for your page:

  • Reschedule

  • Delete

You’ll then receive a confirmation prompt to confirm you’d like to either Delete the scheduled update or Cancel the action.
