Process for new content.vic.gov.au webforms

This process only applies for content.vic.gov.au CMS users.

Basic forms can be built in the Vic Gov content management system (CMS), known as Drupal.

Departments might have other approved webform platforms that you are authorised to use instead. Check with your department’s digital team.

Process for a new Drupal webform

  1. Confirm the requirements for your new webform with your department’s privacy team and create a Privacy Impact Assessment (PIA).

  2. Follow our steps to build an online form.

  3. Check with your department’s digital team if they can test the form for you. Test the form by embedding it on a CMS webpage and previewing the draft.

  4. Once you’ve confirmed it looks and works as expected, add the form to the relevant webpage and publish the page to make the form live.

  • All forms that collect information must include a privacy collection notice as part of the form. 

  • All forms must have a completed Privacy Impact Asessment (PIA) before being published.

  • All forms require a 'form owner' who is responsible for the form and its submissions.

Alternate platforms

For forms that involve managing grant submissions or require a payment or a customer record to be created, the Department of Premier and Cabinet uses the GEMs system – more information can be found on the DPC Intranet. 

Most departments have a similar policy, so check with your department if you're unsure which platform is used. 

For newsletter subscriptions, you should link directly to your newsletter software provider's sign-up form rather than creating a new form. Refer to the email newsletter digital guide for best practice guidelines and security requirements. 

Some departments also use additional webform platforms.
